We help customers from the start of booking until they arrive at a hotel and on a bus or train, but other travel services, such as transportation, accommodation, etc., are provided directly by the various suppliers.

Every individual airline, hotel, cruise line, tour company or car rental company continues to be responsible for their service operation and the satisfaction of the services they provide: They each have their own terms, their own rules of operation, etc. They have their own rules for baggage, cancellation rules, eligibility, etc.

Customer Responsibilities

To ensure a customer's smooth travel experience, they are expected to:

  • Double checking all booking information prior to making payment.
  • Passenger information – giving the passenger accurate information as appeared on government issued identification.
  • Possessing appropriate travel documents, such as passports, visas and health certificates as needed.
  • Familiarizing oneself with airline policies on baggage, check-in times and travel rules.
  • Care for your own email and/or phone correspondence to ensure that booking confirmations/schedules are received.
  • Notify the travel supplier in a timely fashion in case of changes after booking.

Our Role as a Travel Service Provider

Exclusive Media Travel is a firm that assists the customers with searching, comparing and booking flight availability, hotel and vacation packages, cruises, car rentals etc.

Note: Airlines, hotels and transportation services are NOT owned, managed or operated by us. The travel products you are buying are only those of the respective supplier who are different in terms of reservations and baggage, etc., and in terms of the rules and conditions for changing the travel date and circumstances, for cancellation and for travel products refunds, etc.

Pricing and Availability

Availability of all prices displayed on the Exclusive Media Travel website is on a per-availability basis only. Fares, hotel prices, taxes, government fees and/or services fees are subject to change without notification until confirmation of the reservation and successful payment reaction.

Special fares are based on availability and/or may be non refundable or subject to penalties for changes. We suggest that you read the fare conditions that apply to the ticket before you buy it.

Visa requirements and travel documents

With travel protection available on the selected plan, eligible travel disruptions and cancellations, medical emergencies, baggage delays and other unforeseen travel events can be covered. Exceptional circumstances like illness of a family member, loss of loved one and other causes may impact your normal travelling plans. For these situations, we have a Compassion Exception Policy which outlines our process for supporting customers without infringing on airlines', hotels', and travel suppliers' policies.

Requirements for Eligibility of a Compassionate Exception

If any one of the requirements (though not restricted to the list) mentioned below apply to you, then you are eligible for a compassionate exception:

  • Death in the family.
  • A life-threatening medical condition that can only be treated in hospital.
  • A medical emergency of the traveller before travel.
  • Adverse conditions which come out of the ordinary and make traveling impossible.
  • Other scenarios which might fall under the supplier's personal unpredictables.

All of these are considered on a case-by-case basis; eligibility may be dependent on the individual airline, hotel, or service provider that is transacting the booking.

Documentation Required

Documents that are acceptable are:

  • A certificate signed by a licensed health care doctor.
  • Admission / discharge records of the hospital.
  • Funeral notice/dedication card or death certificate.
  • Official documents issued in reference to emergency.
  • Other records that the travel supplier may request.

Steps to follow to seek help

In case of emergency before the planned travel, you should contact Exclusive Media Travel as early as possible. These items are reviewed by our support team, assisted with explanation of options available and in communicating with the travel supplier as appropriate.

It includes:

  • Confirmation booking number.
  • Passenger’s full name as per their booking.
  • Contact information.
  • Brief description of the emergency.
  • Documentation (if any).

Possible Outcomes

Depending on the policy of the supplier and when you ask for them, you may be able to get them like:

  • A travel pass that gives travel privileges in the future.
  • Change of date for this ticket with corresponding fare changes.
  • Some fee waivers/reductions.
  • Refunds for part of purchase will be made, if allowable.
  • Cancellation of the unused booking.
  • Alternative means of travel (if any).

The terms for waivers and refunds and credits are at the discretion of the travel supplier only. Further fare differences, taxes or administration fees may apply.

Important Information

We want to make sure that travellers are getting top quality value for money that doesn't impact service, transparency, or actually make booking a hassle.

How the Price Match Promise Works

Once you've booked a travel product with Exclusive Media Travel, if you find a better deal for the same travel product, you can request that the price be compared and if it is a better price, it may be honored. This policy is subject to verification by our team and will depend on your booking meeting the requirements.

In order to be accepted, the less expensive offer must be, in all material respects, equal to your reservation; dates, destination, airline or hotel, cabin or room class, fare conditions, passengers.

Eligibility Requirements

If you meet all the following requirements, your request may be eligible:

  • Your request comes in during the period in which you've booked and that period is when it is eligible to come.
  • The lower fare is verifiable, and publicly available.
  • This tour will be identical to the booked tour.
  • Same dates of travel and destinations as reservation.
  • The same booking class/category of room can be booked for the fare.
  • Money is the same – as are the quantity of travelers.

Once verification is made by our team, the lower pricing will still be applicable. Requests which are not specific to the requirements may not be eligible for price adjustment.

Offers That Are Not Eligible

The Price Match Promise, in general, does not apply to:

  • Limited price for membership basis or loyalty programs.
  • Promotion codes/coupons.
  • Corporate, student, military/group travel rates.
  • Flash sales or offers that are time-expired.
  • Auction-based pricing.
  • Display pricing as per technical problem.
  • If you are booking through private travel clubs, or invitation-only sites, then you don't need to worry about paying any extra charges.
  • Package rates with unknown separation rates, such as for individual services.

The exclusions facilitate fair and consistent appraisement to all customers.

How to make a request?

For Request for Price Review, please furnish us with the following:

  • Booking confirmation number.
  • Passenger name.
  • Lower price offer.
  • The site, including the URL, of the lowest-rate site.
  • The-date that the lower price was offered and the time that it was offered.
  • Images if any.

Review Process

On the receipt of your request we will cross check both reservations to ensure all travel details are the same. If the cheaper fare satisfies the criteria, then we can look into your request as mentioned above.

For any approved adjustment the method of payment will be the same that was used for the original booking (travel credit, payment method, etc.).

Important Information

Note: The following applies:

  • Any requests to 'Price Match' will be considered on a case by case basis.
  • All verification needs to be completed before an adjustment is allowed.
  • Taxes, government charges and supplier fees could be various for bookings.
  • This is not permitted for currency exchange fluctuations.
  • Requests that do not meet their policy are subject to Exclusive Media Travel's discretion.

We realize that airfare and travel rates change before a trip at Exclusive Media Travel. Price Drop Assurance is a program we're going to be rolling out to ensure an extra sense of confidence after booking for eligible travelers. If the cost of your travel qualification drops during the specified review time your travel credit (and other benefits if applicable) may be available, depending on the terms listed below:

This program is designed to incent reward customers intercepting with booking with confidence and ensure that customer booking practices are performed in a fair and transparent manner. Price Drop Assurance is available on eligible reservations and is subject to these Terms & Conditions.

What is Price Drop Assurance?

Price Drop Assurance is a post-booking feature that lets customers who qualify request a review if there's a drop in the price of the exact same travel itinerary after they book it.

Eligibility is based on the type of travel product booked, supplier participation in the program, fare conditions and verification of a lower price.

Criteria for eligibility

Your reservation may be eligible for Price Drop Guarantee in case:

  • Your reservation comes with the Price Drop Guarantee option.
  • The reservation has been fully confirmed and paid.
  • The second price is the one reflected in public respect to the time of verification.
  • The tour program is the same in all its elements.
  • Travel time/dates, destinations, carrier, fares, and passenger data do not change.
  • The request will be made on time, during the scheduled review periods.
  • No cancellation, modification or partial use of the reservation has been accomplished.

Failure to meet any of the eligibility criteria means the request could be denied.

Reservations That Are Not Covered

In most cases, Price Drop Assurance is not available for:

  • Discount/incentive offers.
  • Pricing for members and/or loyalty programs.
  • Corporate, student, military or government fares.
  • Group reservations.
  • Vouchers that provide package rates for vacations.
  • Air Chartering or special negotiated fares.
  • Wrong prices that are a result of errors on the web site.
  • Last minute discounts or special sales.

This is for the consistency and fairness of application of the program.

Asking for Price Review

If you think your reservation is made, write back to our Customer Support Direct, providing the following details:

  • The number you received when you put in your booking request.
  • Passenger name.
  • Information on the lower fares published.
  • The name of the site where the lower price is listed.
  • The date and time when the price was available.
  • Explain with supporting graphs or pictures, if available.

Your submission will be reviewed by our Representatives and checked for accuracy before we can make a determination.

Verification Process

All requests are screened for the purpose of assessing whether the lower fare is for the travel “product.” When we verify we compare multiple items such as:

  • Airline/travel supplier.
  • An airport for taking off and landing.
  • Travel schedule and time.
  • Cabin/fare class.
  • Number of travelers.
  • Conditions on tickets and ticket prices.
  • But the mandatory fees, charges and taxes.

Benefit Provided

Where Exclusive Media Travel deems it appropriate based on the booking and supplier guidelines one of the following may be offered:

  • A trip credit to be used later.
  • An adjustment in part of the price.
  • One more promotional advantage given under the Price Drop Assurance program.

Procedure for Price Drop Guarantee will be developed according to your reservation confirmation process which depends on your reservation.

Other Conditions

Please note the following very important terms:

  • Price drop assurance only applies to eligible reservations.
  • Only one request can be accepted per reservation.
  • Not redeemable for cash, unless otherwise noted.
  • Government taxes, airport charges and third party service fees are not included in any kind of adjustment.
  • Future bookings of this program are at Exclusive Media Travel's sole and express discretion and may be altered, canceled or discontinued without notice.
